Optima - Online Stock Management
Introduction
Optima Online a powerful browser based add-on to Optima2 providing an easy-to-use customer friendly interface to the Optima2 Print Management Software. Optima Online provides your customers with an easy way to ‘call-off’ stock, view stock levels and personalise items such as business cards, brochures etc. which are proofed online using integrated PDF technology. Each stock item is also supported by a PDF image for ease of recognition
Each Print Management Company site will have an individual web site address e.g. www.printmanagementsoftware.com/YourCompanyName
The Optima Online management control options can be set per user affording overall control from this powerful Print Management Software system add-on assuring maximum efficiency for both your clients and your organisation.
Optima Online End User Facilities
- A 'Shopping Basket' based stock call-off mechanism
- Shopping basket 'Save' facility
- Online stock level and price information
- Optional minimum quantity and quantity bands per stock item
- The ability to view each item online for identification and checking purposes
- Versatile search by 'Category' and/or 'Item Description'/product code
- Individual user access control of items; user categories include:
View Only (cannot order but can view items that are available)
Standard User (can authorise own 'Stock' orders)
Personalisation Authorised User (can only personalise own items)
Personalisation Authorised Manager (can personalise items for other users)
Client Administrator (can set user rights as above and other item/delivery rights)
Each individual user may be configured to enable delivery only to selected delivery addresses (delivery addresses are stored within Optima and uploaded, i.e. no re-key required)
Personalising Online
- Personalisation items are 'proofed' on screen in PDF format
- User database for personalised items, - repeat orders are simplified
- Email confirmation of call-offs to user, Optima ‘Account Manager’ and optionally Client Head Office or other email addresses.
- Ability to send an email proof to another user/email address
Invoicing and Delivery Note Detail for Personalised Items
- Automatically the invoice data is prepared showing personalised title e.g. Name of the person for Business Cards, Brochure Title etc.
- Standard Optima Back-Office invoice options are available e.g. Single, Batch Consolidated, Call-Off Invoicing
- Delivery Notes are automatically furnished with details as above aiding 'Goods In' checking and control
